Pre-Shipment Inspection Checklist for Underground Mining Equipment

Inspection should prove that the equipment being loaded is the same model, configuration, and document package that the buyer approved.

Approve the inspection plan before production ends

The contract or quality plan should define the inspection points, acceptance values, evidence format, responsible parties, and treatment of nonconformities. This is easier to agree before packing starts.

Identity and quantity

  • Purchase-order line and quantity
  • Full model and nameplate ratings
  • Serial number where applicable
  • Motor, controller, reducer, pump, or other controlled component models
  • Ordered accessories, tools, and spare parts

Dimensions, fabrication, and function

Measure the transport and interface dimensions that affect installation. Check accessible welds, fasteners, guards, coatings, wheel sets, chains, hoses, couplings, and controls. Complete safe no-load or load tests according to the product and approved plan.

Inspection evidence by stage
StageEvidence
Before packingOverall photos, nameplates, measurements, configuration, function tests
Document packCertificates, drawings, manuals, inspection record, packing list
PackingProtection, moisture control, loose parts, marks, package dimensions and weights
LoadingPackage count, container or vehicle condition, securing, seal number, final photos

Close nonconformities before release

Record each deviation against the approved requirement, identify the corrective action, and capture evidence of reinspection. The release decision should be explicit before the cargo moves to port.

For replacement equipment, include an interface check against the buyer-supplied drawing or nameplate data. A visually acceptable machine can still fail installation if the connections or envelope differ.
